Prepare a unit for sale
1
Open the batch
In the dashboard, open Devices → Fleet Batches and open the batch you want to sell.Find the individual unit in the table. Check its name against the physical device so that you update the correct record.
2
Check the physical device
Finish your own checks before offering the unit to a buyer: install the intended firmware, confirm that the device connects, and test the functions you are selling.A unit’s sale status is an inventory record. It does not confirm that these checks have passed.
3
Choose Prepare
For a unit marked Not for sale, select Prepare. Its status becomes Ready to sell, and a claim code is created for the unit.Preparing a unit does not record a buyer or take a payment.
4
Print the unit label
On that unit’s row, select QR code. Check the unit name in the label preview, then select Print.Attach the label to the matching device or its packaging. Keep the printed code readable so your team can identify the unit later. The QR code identifies the unit. To let a customer scan it in your app, you need to provide that experience in your own app. See Customer access.
Take the order and record the sale
Sell the device through your own website, marketplace, shop, or other sales channel. Set the price, collect payment, and confirm the order there. After the sale is confirmed, record the buyer against the exact unit you will deliver:- Open the batch and find a Ready to sell unit.
- Select Record sale on its row.
- Enter the information you want to keep: Owner name, Email, Phone, Order no., and Note. These fields are optional.
- Select Save.
- Confirm that the unit now appears as Sold.
Sold means that an owner has been recorded. It does not confirm payment, dispatch the device, or give the buyer access to your app.
Pack and deliver
Match the physical device, its label, and the recorded order before packing. Include your own setup instructions, app or portal details, and support contact. Arrange shipping or collection through your sales process. Manage tracking, delivery confirmation, invoices, and payment disputes in that process too. Fleet Batches does not provide shipping or payment tracking. Before handover, confirm that your customer can use the access method you provide. If your app supports scanning the unit label, explain where to scan it and what the customer should see afterward.Read the batch totals
The batch detail shows Total, Sold, Ready to sell, and Broken. The Total card also shows the number Not for sale. Each count represents units, rather than orders or customers. For example, a batch with 10 units could show 6 sold, 3 ready to sell, and 1 broken. One customer may own several of those sold units. Recording a sale changes the ownership record; it does not remove the unit from your workspace. Sold units remain part of your device usage.Handle changes after the sale
For a returned unit, complete your inspection before offering it again. If it needs work, use Mark broken; if it is simply not ready for another sale, use Remove from sale after releasing its owner.
Refund money through your original payment process. For a replacement, update the returned unit’s record as appropriate and use Record sale on the replacement unit.
Releasing or transferring an owner keeps the unit’s existing claim code. If you explicitly use Rotate code on an unowned unit, print a new label: the old code stops working.
Update the customer’s permissions in your own app whenever a unit is returned, replaced, or transferred. Customer access explains how to keep the app and unit records aligned.
